Confirm the exact van rather than the fleet average
Give the registration, model and tyre markings for the van needing work. Similar-looking vans can have different requirements, so do not copy the tyre specification from another vehicle in the fleet. Mention commercial markings, different axle fitments or modifications that may affect the enquiry. The correct product should be confirmed for the vehicle receiving it, not simply for a familiar model name.
Explain the van’s normal use and any relevant manufacturer information available in the handbook or vehicle label. Michelin advises fleets to seek appropriate tyre advice for their vehicles and use. The fitting team can discuss the replacement specification with that context. Do not choose a lower specification merely because a tyre in the same dimensions appears available sooner.
Arrange a practical fitting and handover window
Choose a period when the van can remain at the agreed location and explain the site’s access rules. Mention loading activity, shared yards, gates and whether a site contact must meet the fitter. If the van will return from a route immediately before the appointment, agree how a late return will be communicated instead of assuming the fitter can wait indefinitely.
Tell the team whether the van will be carrying a load and describe anything that may affect access to the work area. Discuss the arrangement before the visit; do not assume that the fitter can unload goods or work in an active loading bay. Keep responsibility for keys, site permission and the available vehicle clear between the dispatcher and driver.
Keep route decisions separate from unconfirmed attendance
Share the business’s timing constraints so the team can assess a suitable slot, but wait for the actual appointment and product confirmation before reorganising around them. A planned replacement is different from an urgent flat-tyre request during a delivery round. If the vehicle’s condition changes before the visit, report it and ask for the plan to be reviewed.
Use our fleet tyre services with the vehicle details, location and proposed availability ready. Nominate somebody who can approve the complete replacement quote, including the quoted tyre and fitting, and receive any findings from the visit. Afterwards, update the vehicle’s maintenance record and inform dispatch about the completed work and any outstanding recommendation. This gives the next shift a clear handover rather than an assumption that all concerns have disappeared.

Your tyres, taken care of.
Choose a visit that fits your day. Share your vehicle and location, and we’ll confirm the right tyre, appointment and full quote.
Your questions, answered.
Can I order using the size from another van?
Check the actual van first. Vehicles in the same fleet can have different approved tyre requirements, even when they look similar.
Should dispatch assume the van is ready when the slot ends?
Dispatch should use the completed-work handover and any outstanding findings. Explain deadlines beforehand and agree how changes or delays will be communicated.
